The Office Printer Maintenance Checklist Every Business Should Follow

In fifteen years of servicing office printers, we have found that the overwhelming majority of breakdowns were avoidable. Dust, worn rollers and neglected firmware account for more failures than genuine component death.

Weekly

  • Wipe the exterior and the scanner glass — smudges on the glass show up on every scan and copy.
  • Check paper trays are loaded correctly and the guides are snug against the stack.
  • Clear any partial jams properly rather than tearing paper out.

Monthly

  • Run the printer’s own cleaning cycle.
  • Check toner and drum levels and reorder before anything runs out.
  • Print a test page and look for streaks, banding or faded areas.

Quarterly

  • Have the interior cleaned properly, including the paper path.
  • Inspect and, if needed, replace pickup rollers — worn rollers cause most misfeeds.
  • Apply firmware updates from the manufacturer.
  • Review usage against the device’s rated duty cycle.

What to leave to an engineer

Fuser units, transfer belts and anything behind a panel that requires tools should be handled by someone trained on that model. The fuser in particular operates at high temperature and is not a component to improvise around.
